ILHC Latin America 2024 Terms & Conditions
This Terms and Conditions (“Terms”) are applicable to all participants (“Participants” or “You”) of the event ILHC Latin America 2024 (“Event”) promoted by the organizers (“Organizers” or “Us”).
Registration and Payment 1. Every Participant must register individually. The Participant will be able to choose according to the schedule which classes they want to attend. Nonetheless, there will be a limited amount of Participants allowed in each room and the criteria will be the order of arrival, respecting a “first come first served” policy. If a Participant arrived to their desired class and the room is alreay full, they will be able to choose from two other classes that will be taking place simultaneously. 2. In order to compete the Participant must hold a Party Pass or a Full Pass to ILHC Latin America 2024 and pay the required entry fee per competition. 3. In the case of registering for a couple or a team competition, only one person holds responsibility for the payment relevant to the respective competitions. 4. Filling out the registration form on the website does not guarantee your participation at ILHC Latin America 2024 event. After successful submission of the form, each Participant should receive a Confirmation email. In case of Payments through our Registration platform, your Payment will be processed immediately. In the case of Cash or PIX payments, you have 7 days to complete your payment according to the instructions to guarantee your spot. If you fail to do so, your spot will be made available to other participants. 5. In order to participate in ILHC Latin America 2024, all Participants are required to read and agree to these Terms and Conditions, the Code of Ethics and Conduct, and Privacy Policy prior to concluding their registration. Additionally, during the Event, Participants agree to follow all norms and instructions provided by the organizers or by other persons indicated by the organizers. 6. ILHC Latin America 2024 is a private event, and the Organizers reserve the right to deny attendance of people who do not meet the requirements and standards set forth in this Terms or in the Code of Ethics and Conduct, or people that the Organizers have reason to believe, according to their discretionary evaluation, pose a risk to other Participants. In this case, the denied person will be properly informed that they will not be allowed to attend any part of the ILHC Latin America 2024 and will receive a refund of their registration (after deduction of the applicable transaction costs and/or taxes) in up to 30 days following the end of the Event. The Organizers’ decision is final and the reasons that lead to the decision will not be disclosed, in order to preserve the privacy and intimacy of all parties involved. 7. If at any time during the Event, the Organizers identify that a Participant is in breach of this Terms and Conditions, the Code of Ethics and Conduct, or that a Participant poses a risk or threat to the other Participants, such person will be asked to exit the Event and will not be allowed to attend any other event of the ILHC Latin America 2024. In this case, the Organizers will consider the concrete situation and will decide, at their own discretion, if the Participant is eligible for a total or partial refund. If the refund is approved, it will be made after deduction of the applicable transaction costs and/or taxes in up to 30 days after the end of the Event. Refunds and Cancellations 8. There are no refunds for Full Passes or Party Passes except as set forth in item 12. 9. Refunds of Competition Fees can be requested via e-mail ilhclatinamerica@gmail.com through June 30, 2024. In this case, the Participant will receive a refund of the total amount paid, after deduction of the applicable transaction costs and/or taxes, in up to 60 days after the end of the Event. Starting July 1st, 2024 Competition Fees will not be refunded for any reason, except as set forth in item 12. 10. Full Passes, Party Passes, and Competition Fees are refundable in the case that the registrant proves that the cancellation is due to a force majeure situation (e.g. government has placed limits on public transport). In this case, the Participant will be entitled to a full refund after deducting the necessary bank fees and/or taxes, in up to 60 days after the end of the Event. In case of proven sickness or physical injury, the Organizers will evaluate, at their own discretion, the possibility of a partial or full refund, which, if approved, will be made in up to 60 days after the end of the Event, and after deducting the necessary bank fees and/or taxes. 11. If the event is canceled or postponed by us (the organizers) due to circumstances beyond our control or force majeure (e.g. due to restrictions placed by the government) Participants will be notified and will have the option to transfer their passes for the new date of the Event. 12. All types of Passes ARE transferable to another individual, team, or couple for the ILHC Latin America 2024 event, provided the transfer happens prior to registration closing the Monday before the Event begins. 13. In order to successfully transfer a Pass, the original Participant(s) must contact the Organizers via e-mail ilhclatinamerica@gmail.com providing the information of the substitute Participant(s). The transfer will only be completed and authorized after receiving a confirmation e-mail from the Organizers. Photos and Videos 14. ILHC Latin America 2024 will be filmed and photographed. As such, if You choose to participate in the Event, You agree that your image and/or voice will be captured in video and/or photograph in order to produce and exhibit visual and/or audiovisual works, that may be published in social networks and on the internet. In case of recordings of the competitions that take place in the Event, You agree that your name and other information may be added to the visual and/or audiovisual work so as to identify You. 15. You authorize the use of your image, voice, and likeness free of charge, universally and irrevocably. You further recognize that the Organizers are the legal owners of any applicable copyright to the visual or audiovisual works produced as a consequence of the Event, and that the Organizers may freely use and dispose of such works. 16. You acknowledge that the Organizers may not be held accountable for any use that social network or internet users may employ of your image, voice, and/or likeness as fixed in the visual or audiovisual works produced by the Organizers and published on the internet, including, but not limited to, download, e-mail distribution, posting on other online environment and/or fixing the works in any other type of media. Regarding the Flights to New York Awarded for All-Star Solo Jazz and All Star Strictly Winners 17. The Participants that win 1st Place at the All-Star Solo Jazz and All-Star Strictly categories are qualified to compete at the ILHC NY World Finals 2025 to be held in May 2025. 18. These Participants receive as part of the award a stipend to cover their flight tickets to New York in up to US$1000. The organizing team behind ILHC Latin America 2024 will get in touch with each Participant after the event in order to arrange the purchase of the tickets. 19. If by any chance the same Participant wins 1st Place in both All-Star Solo Jazz and All-Star Strictly competition, they still only get one Stipend of US$1000 to cover the cost of their flight tickets to compete at ILHC NY World Finals 2025. Final Provisions 20. The ILHC Latin America 2024 event Organizers do not take responsibility for accidents or losses, thefts, or harm that occur to Participants at the Event for whatever reason, unless such harm comes from the exclusive and proven fault of the Organizers themselves. 21. The ILHC Latin America 2024 event Organizers do not take responsibility for any kind of unforeseen circumstances or force majeure event (e.g. illness of instructors) and their consequences. 22. The ILHC Latin America 2024 event Organizers reserve the right to make reasonable changes to the schedule before and through the duration of ILHC Latin America 2024 event. 23. The Organizers reserve the right to change or update these Terms and Conditions with no previous notice. It shall be the Participants’ responsibility to confirm the published conditions when they register in the Event. |
ILHC Latin America 2024 Privacy Policy
Your privacy is important to Us, as such, we have created this Privacy Policy (“Policy”) so You can know how your personal data (“Data”) is collected and how can we use it.
- We collect Data informed by You upon registration for the Event. When You register, we request that you inform Data such as your full name, preferred pronoun, e-mail address, country, and, as applicable, payment information. If You do not inform Us of this Data, it will not be possible to register for the Event.
- ILHC Latin America 2023 also collects and treats your Data of image, likeness, and voice to create visual and audiovisual works, via photographs and video of the Event. In case of competitions, if you choose to participate, You agree that We may use your name and/or other Data to identify You in the visual and/or audiovisual work.
- The Organizers will treat your Data for enforcement of the Terms and Conditions and this Policy and to complete your registration in the Event according to the legal bases present in the applicable legislation.
- Your Data may also be used in order for us to communicate with you about future editions of ILHC Latin America or other events in the same genre produced by the Organizers.
- Your Data will only be shared with third parties to the extent necessary to complete the purposes stated in this Policy. This will happen following the best practices in the market, in respect of the applicable legislation.
- We adopt technical and regulatory industry standards to protect your Data and warrant their safety and privacy.
- You have the right to access and rectify your Data. After the end of the Event, You may also request the anonymization or elimination of your Data. For those purposes, you may send an e-mail to ilhclatinamerica@gmail.com with your request.
- Your Data will be deleted in up to 45 days after your request, provided that We may keep your Data as determined by the applicable law. Additionally, You acknowledge that it will not be possible to remove your Data, including your image and likeness, that have been fixed in visual and/or audiovisual works originated from the Event.
Code of Ethics and Conduct
Overview
Dancing allows us moments of fun while communicating with other dancers and with music. In order to make ILHC Latin America 2024 a safe and pleasant environment for everyone, all attendees, instructors, staff, vendors, volunteers, and third parties involved with ILHC Latin America 2024 are required to agree with the following code of ethics and conduct (“Code of Conduct”) in order to be able to participate, in any capacity, of ILHC Latin America 2024.
The Organizers of ILHC Latin America 2024 are dedicated to providing a harassment-free and discrimination-free experience for everyone, regardless of genre, race, religion, sexual orientation, economic condition, physical appearance, physical aptitude, origin, level of dancing, or any other personal characteristics.
For that reason, not everyone is welcome. Sexual harassers are not welcome. Chauvinists are not welcome. Racists are not welcome. Homophobes are not welcome. Transphobes are not welcome. Xenophobes are not welcome. If You are not capable of respecting others in their right to exist in freedom – You are not welcome to ILHC Latin America 2024.
In ILHC Latin America 2024, We do not tolerate conduct that induces, incites, promotes, or consists of discriminatory or harassing acts or ideas. For clarity, We will not tolerate any kind of verbal offense, deliberate intimidation, stalking, harassing photography or recording, sustained disruption of talks or other events, inappropriate physical contact, and unwelcome sexual attention.
Dancefloor Etiquette
Be mindful of consent and personal boundaries. Be respectful when inviting someone to dance and know how to take no for an answer politely. Please note that consent cannot be assumed based on previous behavior and that consent may be revoked at any time. Understand that what is acceptable on the dance floor, may not be acceptable outside of it.
Respect personal boundaries and don’t force movements that are too complicated or with too much physical proximity if your partner demonstrates discomfort.
Be mindful on the dancefloor and keep an open eye. Don’t do movements or variations that may put your partners’ or other’s safety at risk. Please adjust your dancing to the amount of people around you in order to avoid accidents, and be polite in case of collision. Please save your aerials to jam circles and/or competitions.
Be responsible when using alcohol or other substances. Your spatial notion, your force, and your coordination may be affected, which can result in injuries to yourself or others. Know your limits and ask for help if necessary – to call a cab, order a meal, or locate your belongings. Don’t facilitate access to alcoholic beverages to minors.
